A management consultancy sells hours on behalf of consultants working across several client engagements at once, and it cannot invoice a client for hours nobody has checked. TimeSubmit is structured around that specific chain: a consultant logs time against a project, someone with authority to approve it does so, and only approved hours become an invoice.
The shape of the work
TimeSubmit follows a three-tier hierarchy that matches how a consultancy is actually organised: the consultancy itself, its clients, and the projects each client has running. Consultants are attached to the consultancy, not to a client directly, and are assigned onto individual projects. That matters when the same consultant is billing two different clients in the same week; their time entries sit against the correct project rather than one undifferentiated bucket.
Structured timesheets, not a running timer
Consultants log hours on a weekly or monthly timesheet rather than starting and stopping a timer. Each entry carries the project, the date, the hours worked, whether the time is billable, and a description, and a single timesheet can cover multiple projects in one submission. For a consultant splitting a week across two client engagements, that means one timesheet rather than two disconnected logs.
Approval before anything is billed
Approval workflows are on every plan, including the trial, with no separate add-on required. An admin assigns one or more approvers to a project, and a submitted timesheet moves through submit, review, and approve or reject, with a reason required whenever hours are sent back.
The approver role has no equivalent in a general-purpose time tracker. Approvers get their own login, see the timesheets assigned to them, and act on them, but never see billing rates or invoice totals — useful where the person checking that hours are accurate is not the person who should see what the client is being charged. Approvers are members of the consultancy's organisation and count towards the plan's seats, the same as any admin or consultant.
Admins retain an override: a timesheet can be force-approved or force-rejected directly, with a reason recorded, for the cases a normal approver workflow cannot reach in time.
Invoicing from what was actually approved
Invoices are generated from approved timesheets only, never from hours still awaiting sign-off. A consultant can turn a single approved timesheet into a PDF invoice, or combine several approved timesheets from the same client into one. Templates carry the consultancy's logo, payment terms, VAT details and bank details, and support multiple currencies including GBP, USD and EUR, which matters for a consultancy billing clients in more than one country.
Pricing for a small or growing team
Practice is $39 a month for up to five people (one admin, two consultants, two approvers), with a two-month trial to start on before a card is charged. Core is $42 a month covering three members, then $14 for each additional member, or $33 a month billed annually. Margin is $110 a month covering five members, then $22 each. A consultancy with more than around twenty-five people is better served by Enterprise, from $800 a month, set up by contacting sales rather than through checkout. What TimeSubmit does not do
TimeSubmit does not sync with accounting software; the PDF invoice it produces still needs entering into your accounting package separately. There is no sequential, multi-stage approval chain yet either — a project can have several approvers, but routing a timesheet through them in a fixed order is not built. If a consultancy's sign-off process genuinely needs hours to pass through two or three approvers in sequence before a client sees an invoice, that is not supported today.
