General

What is TimeSubmit?+
TimeSubmit is a modern timesheet management platform built specifically for consultancies. It covers the entire workflow from time entry and submission through to manager approval and invoice generation, all in one place.
Who is TimeSubmit designed for?+
B2B consultancies, from a five-person practice to a multi-team organisation. If you track consultant time, have someone approve it, and invoice a client for it, that is the workflow TimeSubmit covers.
Do I need to install any software?+
No. TimeSubmit is a web application that runs entirely in your browser. There's nothing to download or install, and it works on desktops, tablets, and mobile devices.
Can I use TimeSubmit for multiple clients?+
Absolutely. TimeSubmit supports multiple clients, projects, and consultants. You can assign consultants to different projects and track time separately for each.

Pricing & Billing

Is there a free plan?+
No. Nothing stays free. Practice covers up to five team members and the first two months cost nothing, then it is $39 a month from month three. A card is required to start.
How does the free period work?+
Practice is the closest thing to a trial. You choose it on the pricing page, enter a card, and pay nothing for two months. From month three it is $39 a month for up to five team members. Practice is capped at five, so if you need more people you would move to Core or Margin.
What do the plans cost?+
Each plan is a base fee covering a block of team members, plus a rate for anyone above that block. Core is $42 a month for 3 members and $14 a month for each one after that, so a team of 10 pays $126. Margin is $110 a month for 5 members and $22 a month for each one after that, so a team of 10 pays $220. Practice is $39 a month for up to 5 and cannot be extended. Enterprise starts at $800 a month for 25 members, then $32 each, and is arranged with us directly. Compare the plans.
Do approvers count towards my team members?+
Yes. Anyone with a TimeSubmit login counts, whether they are an administrator, a consultant or an approver. Practice's five could be one administrator, two consultants and two approvers. Approvers never see billing rates or invoice totals, but they are not free and they are not unlimited.
Do you offer a discount for annual billing?+
Annual billing lowers the base fee by a flat amount. Core drops from $42 a month to $33, saving $108 a year. Margin drops from $110 to $90, saving $240 a year. Members above the base block cost the same either way, and Practice is not sold annually.
Can I change plan later?+
Yes. Plans are changed from your billing settings inside the app. Practice is the one that cannot grow with you, since it is capped at five team members.
What happens if I stop paying?+
Your organisation becomes read-only. Everything already in it stays visible and you can still export it to CSV, but nothing new can be created. Nothing is deleted.

Timesheets

How do consultants submit timesheets?+
A consultant signs in, picks the project, and enters hours against each day of the period. When the period is done they submit it, and it goes to whoever approves that project.
What happens after a timesheet is submitted?+
The approvers on that project are emailed. They can approve it, or reject it with a reason so the consultant knows what to correct. An administrator can override either decision, and that override is recorded. Approved timesheets are what invoices are generated from.
Can more than one person approve a project?+
Yes. A project can have several approvers and any one of them can act on a timesheet. What TimeSubmit does not do is force them into an order, so there is no chain where a second approver only sees the timesheet once the first has signed it off.
Can approvers see what we charge?+
No. The approver role sees hours, dates, projects and notes. Billing rates and invoice totals are hidden from it, which is what makes it safe to give the role to someone whose job is checking the work rather than the money.

Security

How is access to our data controlled?+
By role. Administrators, consultants and approvers each see a different slice of the product, and the approver role has billing rates withheld from it entirely. Approvals, rejections and administrator overrides are recorded, and the audit log is available on Margin and Enterprise.
Do you hold a security certification such as SOC 2?+
No, and we would rather say so than imply otherwise. TimeSubmit has not been through a SOC 2 or ISO 27001 audit. If a certification is a condition of your procurement process, tell us before you buy rather than after.
Where is our data held?+
On infrastructure provided by Vercel and Convex. Payments are processed by Stripe, so card details are handled by them and not stored by us.
How does TimeSubmit handle UK GDPR?+
It is built for UK GDPR obligations rather than certified against them. You can export everything to CSV whenever you want, you can ask us to delete your data, and the privacy policy sets out what we collect, why we hold it, and who processes it on our behalf. Whether that meets your own obligations is an assessment only you can make. Read the privacy policy.

Getting Started

How do I sign up?+
Plan first. Choose one on the pricing page, then create your account and verify your email address. An organisation is created for you automatically and named from your first name, which you can change in Settings. You enter card details, confirm the plan, and land on the dashboard already subscribed. Choose a plan.
What do I set up before the first timesheet?+
Four things. Rename the organisation if the automatic name is not what you want, add a client and a project under it, invite your consultants and approvers, and say who approves which project. Nothing else has to be configured first.
Can I import our existing timesheets?+
Not in bulk. There is no import tool, so historical data has to be entered rather than uploaded. Export works in the other direction: everything in TimeSubmit comes out as CSV whenever you ask for it.
What support do I get?+
Every plan gets support by email. Margin and Enterprise are answered first. There is no assigned onboarding specialist on any plan, so what you are buying is a quick reply rather than a named person.
